The 17th ICA-AP Regional Assembly and related events will be held at Cinnamon Lakeside in Colombo, Sri Lanka, from 24 to 28 November 2025. The events are hosted by the National Council of Cooperatives in Sri Lanka (NCCSL) in collaboration with the Department of Co-operative Development (DCD), SANASA Federation Limited, and Matara District Cooperative Hospital Society Ltd

Registration
Delegates are kindly requested to register online as early as possible. Please note that online registration is mandatory to attend any event in Sri Lanka, and the registration process is not complete till you have paid the registration fee.
Delegates from Sri Lanka are requested to contact NCCSL coordinators regarding their registration.

Registration Fee
The registration fee is based on the World Bank ranking of countries (High-Income, Upper Middle Income, and Low and Lower Middle Income) and is given in the table below. The country rankings can be found here, and the downloaded list from the World Bank website can be accessed here. The registration fee you need to pay will be calculated (as applicable to your country) and generated as a payment summary after you have filled out the registration form. The last date for registration is 31 October 2025.

When the registration form is submitted, delegates will receive an email with a temporary reference number and an invoice with their applicable registration fee to their registered email ID. For any questions, please contact the ICA-AP secretariat at secretariat@regionalassembly.coop.
Please quote the temporary reference number while paying the registration fee. Once you have paid the registration fee and informed the secretariat, you will receive a confirmation email with your unique Registration ID. Delegates are requested to save the Registration ID for all future correspondence.
Accompanying Persons
Please note that accompanying persons are strictly restricted to spouses accompanying the registrant and do not include colleagues/ professional contacts/ friends/ acquaintances, etc. The accompanying persons are only entitled to attend social functions (the Welcome and Farewell Dinners on November 26 and 27, respectively). Should they wish to attend any business session, they will need to register and pay the full required fee as a delegate.
Mode of Payment
Delegates are required to pay the registration fee to ICA via bank transfer. The bank payment details will be provided along with the invoice (via email) once the online registration is complete.
Please inform the ICA-AP secretariat at secretariat@regionalassembly.coop as soon as you make the payment, quoting your temporary reference number.
Reimbursement Policy
Reimbursement of the registration fee will not be possible. However, substitutes will be permitted and possible until 09 November 2025.

Visa Information
Obtaining a visa for Sri Lanka is generally straightforward for most countries in the Asia-Pacific region. Many nationalities are eligible for visa-free entry and only require an Electronic Travel Authorization (ETA) prior to arrival. Delegates are advised to check specific requirements with the Sri Lankan Embassy or Consulate in their country and apply well in advance. For any queries or to request a visa invitation letter, please contact Ms. Dharshani Piumali, Assistant General Manager, and Ms. Sujeewa Priyadarshani, Assistant General Manager, at icaapra2025.secretary@gmail.com and mark a copy to the ICA-AP secretariat at secretariat@regionalassembly.coop.
Airport Transfers and Local Transportation
All delegates attending the Regional Assembly and related events in Colombo, Sri Lanka, are requested to make their own travel arrangements from the airport to the main venue, Cinnamon Lakeside.
Delegates staying at hotels other than the official venue are also responsible for arranging their local transportation to and from the event site.
Terms & Conditions
The conditions below apply to every person attending the ICA-AP Regional Assembly and related events from 24 to 28 November 2025. All registrations for the Regional Assembly are subject to the prior and unconditional acceptance of these
Badge
The registration desk will be open at the venue from 24 November onwards. Delegates are requested to provide their unique Registration ID and collect their name badge and Regional Assembly packet. The delegate name badge must be worn at all times during the events. Access to the venue will not be granted without a name badge.
Liability
Views expressed by speakers, sponsors, and/or exhibitors are their own. The host and organizers cannot accept liability for any advice given or views expressed by any speaker, sponsor, and/or exhibitor at the Regional Assembly or any related events or in any material provided to delegates. In addition, the host and organizers shall not be responsible or liable for any direct or indirect loss or damage of any sort incurred as a result of the services or information provided in connection with the event. Lastly, the host and organizers cannot accept liability for loss of or damage to property belonging to delegates during the event.
Insurance
The delegates must arrange appropriate insurance coverage in connection with their attendance at the 17th ICA-AP Regional Assembly and related events and bring their medical supplies. The hosts and organizers are not responsible for any medical or travel-related exigencies. Delegates are encouraged to check with their travel agency about travel, medical, and personal insurance policies and cover.
Privacy and Data Protection
The protection of your data is important to us. The hosts and organizers will collect and store necessary personal information for the preparation and execution of the event. By registering for the ICA-AP Regional Assembly, the parties concerned are agreeing that their personal information may be used to contact them by email to supply information relevant to this event, or about other events and opportunities that the organizers are planning and feel may be of interest to them. You may ask to be removed from the ICA-AP database at any time.
Photos & Filming
Photos and videos will be taken during the event, for example, in a group of people or when presentations are made or questions asked, and these will be posted and shared by the structures of the Regional Assembly and ICA-AP websites, ICA-AP social media pages or other communications channels for the purpose of the promotion of the cooperative movement. Use of the photographic images for purposes other than those described above or for marketing via the transfer of the images to third parties is prohibited.

Cancellation of Events
If the Regional Assembly cannot be held or is postponed due to events beyond the control of the hosts/ organizers (force majeure) or due to events that are not attributable to wrongful intent or gross negligence of the organizers, they cannot be held liable by attendees for any damages, costs, or losses incurred, such as transportation costs, orders, financial losses, etc.
General
We reserve the right at all times to change, amend, add, or remove any of the above conditions without prior notice if one or more of the conditions outlined above become invalid. The remaining conditions will continue to be valid and apply. These Conditions apply to all delegates of this event, including speakers, sponsors, and exhibitors.
